Connect your Gmail mailbox

Link a Gmail or Google Workspace mailbox (contact@, support@…) to ScanBiz so that every email received is analysed like a call, with the same alerts.

Once your mailbox is connected, ScanBiz fetches it every hour: every email received is analysed like a call and triggers the same alerts. You connect it from the Google / Gmail mailbox page of ScanBiz, with an app password created in your Google account.

Before you start

  • Access to the Google account of the mailbox to analyse, with 2-Step Verification turned on: Google creates no app password without it.
  • On Google Workspace, IMAP must be allowed for your organisation by its administrator.
  • Nothing in your mail is cut off or changed. ScanBiz only reads: it sends, changes and deletes no email, and does not mark them as read. The app password does not replace the account's password: you keep signing in as before.

Steps

Open Settings, section Mailbox, then click Connect next to Google / Gmail mailbox. The page has three steps.

  1. Enable IMAP: in Gmail, Settings › Forwarding and POP/IMAP › Enable IMAP.
  2. Create an app password: on myaccount.google.com/apppasswords, create a password named "ScanBiz" and copy the 16 characters. Google will not show them again.
  3. Create the connection: type Mailbox to analyse and App password (the 16 characters, without the spaces). Label to poll is "INBOX", the inbox; name a Gmail label if that is where you sort the emails to analyse. Click Create the connection.

Then send the mailbox a test message from another address: it is analysed at the next poll, within the hour, then shows in Last email and in your conversations.

To analyse another mailbox, click Add a mailbox under the first one.

If it does not work

  • "Google refuses this password": it is not an app password, or 2-Step Verification is off. Create one on myaccount.google.com/apppasswords and paste it.
  • Status Access lost: Google refuses the stored password (it was revoked, or the account's password changed). Click Edit and paste a new app password.
  • "This mailbox is already connected": another card on the page already fetches that address.
  • The test email does not show: automated emails (noreply@, notifications) and the copies the mailbox sends to itself are ignored. Send it from an outside address, then wait for the next poll.

Good to know

  • Junk, trash and drafts are never read. To analyse your own replies too, click Choose folders once the mailbox is connected.
  • Disconnect stops fetching and erases the stored password. The emails already analysed remain available. To cut access on Google's side as well, delete the "ScanBiz" password on myaccount.google.com/apppasswords.
