Terms of Use
Last updated : October 29, 2026
These terms govern access to www.scanbiz.ai and the use of the ScanBiz application. They apply to every customer company, whether it subscribed online or signed an agreement with AUDIOLIZ; where an agreement was signed, it prevails over these terms on the matters it covers. They include an annex, the [data processing agreement (Article 28 GDPR)](/dpa), accepted at the same time as these terms.
Publisher and acceptance
The service is published by AUDIOLIZ, a French simplified joint-stock company (SAS), Versailles trade register no. 940 631 799, registered office at 19 rue du Pont Colbert, 78000 Versailles, France, contact contact@scanbiz.ai.
Using the service means accepting these terms. If you do not agree with them, do not use the service.
What the service does
ScanBiz collects a company’s business conversations (phone calls, emails, video meetings), transcribes them, analyses them with artificial intelligence models and turns them into summaries, answers to question grids and alerts.
The service is for business use only. It is not aimed at consumers and is not intended for anyone under 18.
Accounts and access
A company may create its account online: the person signing up declares that they act on behalf of the company they name and are authorised to bind it. Other accounts are created by the customer company, or by AUDIOLIZ at its request. Each user is responsible for keeping their credentials confidential and for the actions taken from their account.
AUDIOLIZ may suspend access in the event of fraudulent use, a security risk, or a serious breach of these terms.
Call recording — your obligations
ScanBiz analyses recordings of phone calls that your phone system makes and transmits to us. ScanBiz does not record calls itself and does not announce the recording to the people on the call: that announcement is made by your phone system, under your control.
Recording and analysing a phone conversation is regulated. In several US states (for example California, Florida, Illinois, Maryland, Massachusetts, Pennsylvania and Washington) and in other countries, the consent of every party to the call is required, and the law of the place where the other party is located may apply. You therefore undertake to: (i) inform every participant, including your own staff, at the start of each recorded call, inbound and outbound, that the call is recorded and may be analysed, including by service providers acting on your behalf, and obtain any consent required by the laws that apply to you and to the people you call; (ii) connect to ScanBiz only phone lines for which such an announcement is in place; (iii) honour any request from a participant not to be recorded, by not transmitting that call to ScanBiz; and (iv) not use ScanBiz to identify a person by their voice or to create any biometric identifier.
AUDIOLIZ acts as your service provider and processes recordings only on your behalf and on your instructions. It does not use them for its own purposes other than providing and securing the service, and does not use them to train general-purpose artificial intelligence models.
You are responsible for the lawfulness of the recordings you transmit. You will defend and indemnify AUDIOLIZ against any claim, fine or award, including reasonable attorneys’ fees, arising from a recording made or transmitted in breach of these obligations. AUDIOLIZ may suspend a connection if it has reason to believe that calls are recorded without the required notice.
Meeting recording — your obligations
The meeting assistant joins the selected meetings as a visible, clearly identified participant.
You undertake to inform participants that the meeting is recorded and may be analysed, to collect any consent required by applicable law, to record only meetings for which you hold the necessary rights, and not to use ScanBiz to identify a person by their voice or to create any biometric identifier.
You are responsible for the lawfulness of the meeting recordings you transmit. You will defend and indemnify AUDIOLIZ against any claim, fine or award, including reasonable attorneys’ fees, arising from a meeting recording made or transmitted in breach of these obligations.
Connecting a third-party calendar
You may connect a Google or Microsoft calendar in order to display your upcoming meetings and send the assistant to them. You warrant that you hold the necessary rights over the connected account.
The access requested is read-only and can be revoked at any time from ScanBiz or from your Google or Microsoft account. The data involved is detailed in the privacy policy.
Acceptable use
- do not use the service for unlawful purposes or in breach of third-party rights;
- do not attempt to access workspaces other than your own, or to circumvent security measures;
- do not decompile, disassemble or reuse the service to build a competing product;
- do not resell or make access to the service available to a third party without AUDIOLIZ’s written consent.
Availability and changes
AUDIOLIZ uses reasonable efforts to keep the service available, without warranting uninterrupted access. Maintenance may temporarily suspend it.
The service evolves continuously: features may be added, changed or removed without affecting the purpose of the contract.
Intellectual property
The platform, its software components, interfaces and documentation remain the exclusive property of AUDIOLIZ. The customer company receives a personal, non-exclusive, non-transferable right of use for the term of the contract.
Content submitted by the customer company (recordings, transcripts, documents) and the analysis results produced from it belong to that company.
Personal data
The processing of personal data is described in the privacy policy, which forms an integral part of these terms.
For the content the customer company entrusts to the Service (calls, emails, meetings), that company is the controller and AUDIOLIZ acts as a processor. Their respective obligations are set out in the Annex — [Data Processing Agreement (Article 28 GDPR)](/dpa), incorporated into and forming part of these Terms, and accepted by the customer company at subscription in the same way as these terms. No signature is required for it to take effect.
A signable version of that agreement is provided on request at contact@scanbiz.ai, in particular where a customer must produce a signed document to its supervisory authority, or where the Service is subscribed through a distributor.
Analysis credits and trial
Analysing each conversation uses analysis credits, at a rate per email and per call minute shown in the application (Settings › Credits and billing). An account created online receives free trial credits, with no time limit.
When credits run out, conversations are still received and kept but no longer analysed; they are not analysed retroactively once credits are added.
Pricing and billing
For an online subscription, the applicable prices are those shown on the website and in the application at the time of subscription. They are exclusive of tax, VAT added. Payment is made by card through our payment provider, Stripe.
- the subscription is monthly, payable in advance and renewed automatically on the anniversary date of the subscription; it includes a monthly allowance of analysis credits, which does not carry over to the next month;
- a user, alert or agent added during the month is invoiced immediately, prorated over the remaining period; a reduction is calculated the same way and deducted from the following invoices, credits already granted being kept;
- credit packs are payable on purchase and do not expire;
- invoices are available in the customer area; if a payment fails, the analysis of conversations may be suspended until it is settled.
For a company that signed an agreement or order form, the prices and billing terms are those set out in it.
Liability
The analyses produced by ScanBiz rely on artificial intelligence models: they are decision support and may contain errors or omissions. They replace neither human judgement nor legal, financial or medical advice.
AUDIOLIZ’s liability is limited to direct, foreseeable damage and, in any event, to the amounts paid by the customer company over the twelve months preceding the triggering event.
Term and termination
An online subscription carries no commitment: it can be cancelled at any time from the customer area (Settings › Credits and billing). Cancellation takes effect at the end of the current monthly period, already paid, with no prorated refund. The account then remains accessible and unused credit packs remain usable.
For a company that signed an agreement, term, renewal and termination are those it sets out. When the agreement ends, access is closed and data is deleted or returned as agreed.
Changes to these terms
AUDIOLIZ may amend these terms to reflect changes in the service or in applicable regulations. The applicable version is the one published on this page; customers are notified by email of any substantial change.
Governing law
These terms are governed by French law. Failing an amicable settlement, any dispute falls within the exclusive jurisdiction of the courts of Versailles, France.
