ScanBiz analyses your calls and e-mails by spending credits. The Billing page tells you how much you have left, how fast it goes, and how to add more.
Before you start
- Everyone can see this page. Only an administrator of your organisation can buy, subscribe or change a payment method: anyone else reads "Only your organisation's administrator can change billing".
- If your subscription is sold by a reseller, the page says "Your subscription is managed by your reseller": your credits stay visible, but buying goes through your account manager.
Steps
- Open Settings, then Credits and billing, or click the credit figure shown at the top of the screen.
- Read the box at the top: it gives the state of your account in one sentence — Trial in progress, Account active, Credits running low, Trial ended, Analyses on hold or Payment failed.
- Under Your credits, look at the three figures:
- Available credits: what you can analyse with, today.
- This month's allowance: what your subscription grants you at each due date. What you do not spend is not carried over.
- Bought credits: the ones from your packs. They never expire and are only spent once the month's allowance is gone.
- Under How it works you read your own rates: what an analysed e-mail costs, and what a minute of call costs (transcription and analysis included).
- Daily usage shows the detail of the month you pick: this is where the day that cost more than the others shows up.
Topping up, subscribing
- Top up credits: choose a Quantity of packs, then Buy. The pack price is shown excluding VAT, and those credits never expire.
- Subscribe (if you have no subscription yet): each offer states what it grants per month — credits, alerts, agents, tracked topics — and the first user is included. Payment goes through Stripe and the subscription can be cancelled at any time.
- Your subscription (if you have one) shows, for each limit, where you stand: for example 2 / 5 alerts. The Add button next to a limit you have reached raises it, billed straight away, prorated.
- Manage my subscription and My invoices open your payment space: that is where you change your card and download your invoices.
If something goes wrong
- "Analyses on hold" or "Trial ended": nothing is lost. Your calls and e-mails keep arriving and stay readable, they are simply no longer summarised and no longer feed your alerts until you top up.
- "Payment failed": your analyses go on while you have credit left, but your allowance will not be renewed. Update your card from Manage my subscription.
- You come back from the payment page and nothing has moved: the message "Payment recorded, your credits are on their way…" is normal, the page updates on its own as soon as the credit lands. If it takes long, the Retry button checks again.
- "Payment cancelled, nothing was charged": you left the payment page, no amount was taken.
Good to know
- A call that is not analysed costs nothing: only the conversations actually analysed count.
- Your history is not taken in: nothing from before your phone system or mailbox is connected is analysed or billed — see Connect your 3CX or Connect your Microsoft 365 mailbox.
- If your calls come from a phone system, the Supervised extensions line says how many extensions you pay for and how many are really followed. Manage supervised extensions lets you choose which ones.
- Every user beyond the first is billed, and the amount adjusts on its own when you add or remove an account — see Organise your team.
- During a free trial you can already buy a pack or start a subscription without waiting for the trial to end.
