Manage your topics

Choose what ScanBiz looks for in your conversations: add a topic, rename it, remove it, and make sense of the counter that comes with your plan.

Your topics are the list of what the AI looks for in every call and every email. They fill What your customers talk about on your dashboard and in Trends, and they show up on each conversation. A topic you do not track is never looked for.

Steps

  1. Open Settings in the menu, then scroll down to Tracked topics.
  2. Under Your topics you see your current topics and a counter, {tracked} / {included in your plan}.
  3. Add: type the topic in the Add a topic — e.g. tax receipt, site delay… field, then Add (or press Enter).
  4. Rename: click the topic, correct the text, press Enter to confirm (Esc to give up).
  5. Remove: the × on the right of the topic.
  6. Suggestions for your business: under the list, ready-made subjects you don't track yet, picked for your trade. One click adds one.

If your account was just created

Your topics arrive as Suggested topics, with an orange banner: "These topics are not tracked yet: your calls are not analysed for them until you activate them." Click Activate these topics to take them as they are — or edit one first, your first edit activates them too.

If something goes wrong

  • "Maximum number of topics reached": remove one to add another, or ask your ScanBiz account manager to track more.
  • "Keep at least 2 topics for the AI to track them": below two topics the analysis has nothing left to look for. Add one.
  • You can see the list but cannot change anything: your account is a Member. Ask an Administrator in your organisation — see Organise your team.

Good to know

  • A topic added today is looked for in the conversations that arrive afterwards: the ones already analysed keep the topics of the day they came in.
  • Write your topics in your customers' words ("site delay", "tax receipt"), not in your internal codes: the AI recognises what is actually said on the phone.
  • A topic is there to count and find again. To be told when something happens, you want an alert — see Set up an alert.
